REQUIREMENTS: Bachelor’s degree in Public Administration and at least five (5) years relevant experience in General Administration, Strategic Management , Business Process Management and Financial Management in high level Office. Note: The following will serve as recommendation: Proven track record of system design, management and maintained in a large organisation; Good understanding of the machinery of Government; Practical experience in Public Administration and Corporate Governance in a large organisation; Working knowledge of Public Sector Legislation; Political awareness and familiarity with broad lines of government policy and protocol; Ability to liaise effectively at levels within and outside the organisation; Ability to work in a team and manage personnel; Excellent communication skills; Proven financial management skills; Proven project management experience; High degree of computer literacy and proven ability to develop highly graphical and interactive presentations; Willingness to work under pressure and long and irregular hours; Proven experience in the management of Cabinet and Parliamentary processes and systems; Working knowledge of the MISS.

DUTIES: The successful candidate will be responsible for: Facilitate operational planning and performance monitoring including weekly. Monthly and annual reporting for the Office of the Director-General; Maintain effective document management and document flow systems for the Office of the Director-General in line with the Departmental systems: database management, management of work flow processes, develop standing operational procedure manuals, maintaining a filing system in line with national Archive policies; Provide support to all operations and projects of the Director-General:-Preparation for Director-General meetings, reproduction and distribution of meetings packs, performing a secretarial function when required, prepare and distribute follow-up schedules and task list, edit and prepare presentations for the Director-General, arrange venues for meetings and compile annual commitment calendar for the Director-General; Do quality assurance and compliance management and ensure compliance with good corporate governance principles:- ensure that all documents comply with the highest possible technical contents quality standards and with legislation of Government and its entities; Draft policies and standard operation procedures for the different work-streams in the Office of the Director-General; Facilitate the signing of documents/submissions by the Director-General; Do data management and access control in line with the MISS; Provide financial management support and oversee budget control, risk management, asset and facilities management and supply chain management; Facilitate Cabinet and Parliamentary processes and ensure compliance with deadlines; Oversee messenger/driver services for the Office of the Director-General as when required; Provide Administrative and Secretarial support to the Director-General, as and when required; Provide stakeholder management support, as and when required; Manage and supervise staff in the sub unit.

DUTIES: The successful candidate will be responsible for: Maintain and enhance South Africa’s framework of Bilateral Agreements and memorandum of understanding with foreign governments in respect of transport service; Coordinate delegation’s arrangements regarding international engagements; Preparation of submissions outlining issues for discussion in consultation with line function, agencies and other stakeholders; Provide administrative and logistical support for negotiations of Bilateral Agreements and assistance in activities leading to signing of bilateral agreements; Provide assistance in activities relating to tabling of Agreements in Parliament, safe keeping of bilateral agreements and filing with Department of International Relations and Corporation (DIRCO); Administration of International Relations and other duties; Provide support of Bi national Commission (BNC’s); Joints Commissions for Cooperation (JCC’s) and other meetings; Manage Departments involvement in State Visits, foreign Delegations’ visits and International/National meetings dealing with international issues as received and compile reports; Make travel and accommodation arrangements; provide assistance in preparing submissions and compiling country profiles; represent the Department at Interdepartmental meetings coordinated by DIRCO, DIT and other National Departments; Make follow up on activities with foreign countries as well as line function to ensure progress; Responsible for updating of bilateral reports; Responsible for recording and filing of documents; Perform other ad-hoc tasks as required including protocol services to international engagements.

Interview Hints and Tips

Arrive on time for the interview. Plan your trip and leave early if you have to or if you are unfamiliar with the area. Give yourself enough time to find the building as well as parking. You also need keep your diary open after the interview. Your interview might be running longer than anticipated.

Remember to take a few extra copies of your CV with you. One copy is for you should you have to refresh your memory. The other copies are for the interviewer and anyone else sitting in on the interview. You only need to produce these if there is a need for them.

Be careful not to over- or under-dress for an interview. The golden rule is to look professional and smart even if everyone else at the company is wearing jeans. Speak to your employment agency for guidance with specific acompanies.

Women:

The interviewer will be judging the effect of your appearance on customers as well as staff. Your "look" must project the fact that you are the perfect '"fit" for that specific position and company.

Get rid of chewing gum and check your overall appearance before walking into the organisation's premises.

Switch your cellphone off once the interviewer knows that you have arrived for the interview - never, ever take a call during an interview. If there is a medical emergency in your family and your phone needs to be on then inform the interviewer and ask for permission to leave your phone on. In most cases the person will agree to it.

Remember to take a file with pen paper with you to the interview. This will assist you in making notes and to write down questions you might want to ask later.

The interview starts when the first question is asked. Right? Wrong. The interview starts the minute you arrive at the company and you will be under scrutiny by everyone who knows that interviews are being held. Be friendly with cleaning staff, secretaries and everyone else you encounter on your way to the interview. This will make you feel more positive as well as leave positive people in your wake. The last thing you need is for a staff member to mention how rude you were before the interview. Or for the secretaries to tell the manager that you had an attitude with them and you thought you were important!

Studies have shown that most interviewers make up their mind within the first few minutes. You therefore need to greet your interviewer by making comfortable eye contact, shaking hands firmly and introducing yourself in a confident manner.

Make a connection and build a relationship with the interviewer. Remember that they are already happy with your CV and now wants to check you out. Your attitude will be more important than most of your answers.

Only sit down when offered a chair.

If you are offered any coffee or tea you have three choices: Coffee, tea or nothing. Do not go and ask for something not offered - the organisation might not have it on the premises and the interviewer could feel embarrassed.

Keep an eye on your body language and avoid fidgeting, biting your nails, playing with your car keys, etc.
